This privacy policy governs the ways in which the Yukon Film Society ("YFS", "we", "us") collects, uses, shares and protects personal information collected from users ("you") of our Websites.

Scope of this Policy

This policy applies to personal information YFS collects on the following websites:

"Personal information" means information about an identifiable individual, where there is a serious possibility that an individual could be identified through the use of that information, alone or in combination with other information.

This includes but is not limited to your name, home address, date of birth, contact information (including home telephone number and personal email address), employment status, ethnic origin, income, and opinions. It can also include information automatically collected by web servers, such as an IP address, which on its own, does not identify an individual but in certain circumstances in connection with other information could be used to identify an individual.

Personal information does not include your business position, name or title, business address, business telephone number, business email address and business fax number, or general, statistical or aggregated information.

Consent

By accessing our Websites, or by directly submitting your personal information to us, you hereby consent to the collection, use and disclosure of your personal information in accordance with this policy.

If you do not agree with some or all of this policy or are not the age of majority in your jurisdiction of residence, please do not use our Websites.

You may withdraw your consent at any time by choosing not to access our Websites.

We may collect, use or disclose personal information without your knowledge and consent where we are authorized or required by law to do so. For example:

  • if the collection and use are clearly in the interests of the individual and consent cannot be obtained in a timely manner;
  • it is reasonable to expect that obtaining consent would compromise an investigation of a breach of an agreement or a contravention of laws; or
  • the information is publicly available from a prescribed source, such as a telephone book.

What Personal Information We Collect

We collect the following information from our Websites:

Web Analytics, automatically collected: Our Websites automatically collect information about web traffic and visits. The information collected includes your IP address, location information, domain name, page views, documents downloaded, date/time of visit, browser type, device type, device ID, ISP, referring/exit URLS, operating system, language, and other device and usage information.

Membership Information, provided directly from you: If you fill out a membership form or email us, we will collect personal information about you including your name, mailing address, telephone number and email address.

Information received from third parties: We collect or receive information from our service providers, such as Facebook and VIMEO. For example, from Facebook, we receive aggregated statistics and insights that help us understand how people are engaging with our posts, listings, pages, videos and other content, including the number of people or accounts who viewed, reacted to or commented on our posts, as well as aggregate demographic and other information that helps us understand interactions with our Facebook pages. We receive similar information from VIMEO.

How We Use Personal Information

We use the personal information that we collect for:

  • Generating anonymized aggregated data to apply for grant funding and to report to our funders;
  • Administering our Websites, and engaging in analytics and improvement of our Websites – ie. to better understand how our users access and use our Websites and to evaluate and improve the functionality and content of our Websites;
  • Communicating with you to responding to your email inquiries and membership sign-ups;
  • Advertising and marketing; and
  • To comply with legal obligations.

We may share personal information with third parties to facilitate any of the above purposes. If so, those third parties will have access to the personal information we disclose to them only to perform these tasks on our behalf and will be obligated not to disclose or use it for any other purpose.

We do not sell, rent or trade any personal information.

Before using or disclosing personal information for a purpose not identified in this policy, we will identify the new purpose in a revised policy and obtain your consent, unless the use or disclosure is authorized or required by law.

Third Party Websites

Our Websites link to third party websites. When you click on one of those links (including when you view embedded content) you are contacting another website. This policy only applies to information collected on our Websites, and does not apply to any other websites. YFS has no responsibility or liability for or control over third party websites or their collection, use and disclosure of your personal information.

When visiting third party websites, including social media platforms, your personal information will be subject to the terms, conditions, and privacy policies of those third parties.

If you access a third party website through any of our Websites, we strongly encourage you to read that third party's privacy policy to determine its privacy policies and practices and how they track and use your information.

Please note that these websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with any embedded content on our Websites, including tracing your interaction with the embedded content if you have an account and are logged in to that website. More generally, third party websites may use cookies, web beacons, pixels (clear GIFS) or other tracking technologies to collect information about your online activities over time and across different websites, including on our Websites. We do not control third party cookies or tracking technologies.

Cookies and Behavioural Advertising / Marketing by YFS

Cookies are small files that a website or its service provider transfers to your computer's hard drive through your web browser that enables the website or service provider's systems to recognize your browser and capture and remember certain information. You may choose to change your web browser setting to refuse cookies, or to alert you when cookies are being sent. If you do so, some parts of websites you visit may not function properly.

Clear GIFs (also known as pixel tags or web beacons) are tiny graphics with a unique identifier, similar in function to cookies. Clear GIFs are not stored on your hard drive; instead, they are embedded invisibly on websites.

YFS does not currently use cookies or clear GIFs on our Websites.

In the future, we may partner with third party marketing and advertising organizations either to display advertising on our website or to manage our advertising on other websites. Our third party partners may use technologies such as cookies and clear GIFs to gather information about your activities on our website and other websites in order to provide you with advertising based upon your browsing activities and interests.

In particular, we may use Facebook pixels to track visitors to our Websites. Facebook pixels would help us track conversions from Facebook ads, optimize ads, build targeted audiences for future ads, and remarket to people who have already taken some kind of action on our Websites. You can opt out of Facebook pixels at any time by visiting Facebook.com or the Facebook app and adjusting your settings in "Off-Facebook Activity".

If we start using cookies, clear GIFs or other tracking technologies on our Websites, either on a first party basis or through third party services, we will seek your consent by updating this policy and implementing a pop-up for you to select your preferences with respect to cookies.

Limits on Collection of Personal Information

We will limit our collection of personal information to that which is reasonable and necessary to provide our services, and which is reasonable and necessary for the purposes consented to by you through this policy.

Limits on Using, Disclosing or Retaining Personal Information

Your personal information will only be used or disclosed for the purposes set out in this policy and as authorized or required by law.

We will destroy, erase, or make anonymous documents or other records containing personal information as soon as it is reasonable to assume that the original purpose is no longer being served by retention of the information and retention is no longer necessary for legal or business purposes.

Security

We employ commercial acceptable methods to secure against unauthorised access, collection, use, disclosure, copying or modification of personal information we collect on our Websites. However, we cannot guarantee absolute security of personal information.

We will continually review and update our security policies and controls as technology changes to ensure ongoing security.

Personal information that we collect from our Websites is stored on servers in Canada.

Openness & Access

We are open about the policies and procedures we use in connection with your personal information.

You have a right of access to your personal information held by us. Upon written request and authentication of identity, we will provide you with your personal information under our control, information about the ways in which that information is being used and a description of the individuals and organizations to whom that information has been disclosed. We may charge a reasonable fee for providing information in response to an access request. We will make the information available within 30 days or provide written notice where additional time is required to fulfill the request.

  • You may also contact our designated privacy officer to:
  • See what personal information we have about you, if any;
  • Change or correct any personal information we have about you;
  • Have us delete any personal information we have about you;
  • Express any concern you have about our use of your personal information; or
  • Withdraw your consent to the collection of your personal information.

Changes to Privacy Policy

We may review and revise this policy from time to time. Please review this policy periodically for changes. Prior to a substantive change becoming effective, we will post a notice on our Website, and will update the "Effective Date" at the top of this policy.

This policy is made in accordance with the Canadian Personal Information Protection and Electronic Documents Act ("PIPEDA") and other applicable privacy laws.
